Scheduler- Staffing & Scheduling- Full Time

Purpose:

Reporting directly to the Manager Staff and Scheduling, the Scheduler provides workforce support to a work group, by dealing with scheduling and staffing issues of a sensitive nature.  The scheduler provides assistance to the leaders and staff including tasks such as: answering inquiries, filling leave requests, filling time off requests, answering emails, meeting with leaders weekly to determine staff and scheduling needs for their departments and make any scheduling adjustments.  The Scheduler also assists in creating posted schedules for their departments.

Duties:

  1. Collaborate with leaders on how to fill short and long term leaves. May need to collaborate with the recruitment team to ensure job postings are posted to fill vacancies.
  2. Answer email and phone call inquiries from leaders and staff.
  3. Process workgroup shift trades within the Kronos system.
  4. Work with leaders on filling ad hoc time off requests for their departments.
  5. Ensuring Hospital and Unit orientations are scheduled for both new hire and transfers.
  6. Work collaboratively with abilities management, recruitment and labour relations to provide information and guidance to staff and leaders.
  7. Help short call by giving guidance, answering questions and supporting when necessary.
  8. Code short term leaves (under 10 days)
  9. Manage staff schedules and accommodate special requests.
  10. Build schedule drafts for assigned union groups (ONA, UNIFOR, OPSEU, NU), calculate vacation and ensure equitable distribution, meet with managers to review drafts and make changes, export and input schedules.
  11. Assist leaders in ensuring their work group departments schedules are updated on a bi-weekly basis for payroll purposes.
  12. Enter paid education/meetings, on calls and ensure pay codes are correctly marked.
  13. Daily payroll exceptions such as switching shift times.
  14. Communicating with managers to complete payroll in a timely manner.
  15. Work collaboratively with other Schedulers to ensure mutual coverage during absences.
  16. Prepare supporting data for grievance meetings such as pulling call sheets and performing schedule audits in Kronos.
  17. Updating department information, skill sheets, etc.

Staffing and Licensing Requirements:             

  • Post-secondary education
  • 6 months to 1-year experience working as a Staffing Assistant or relevant scheduling experience.

Knowledge, Skills and Abilities:  

  • Ability to work effectively and efficiently as a team member in a fast paced environment in stressful situations.
  • Customer service, interpersonal and telephone skills.
  • Computer literacy in a Microsoft environment including experience in the development of spreadsheets, Word, Power Point, Outlook, and Vision.
  • Ability to maintain successful working relationships with the interdisciplinary team to achieve positive patient outcomes.
  • Ability to organize time effectively to perform the duties of the position.
  • Ability to meet and interact with people in a pleasant, professional, responsible and reassuring manner.

  • Ability to read, write and communicate to perform the duties of the position.
  • Proficiency and accuracy in clerical tasks including data entry, keyboarding, filing systems, documentation etc.

Note:  Because of the changing nature of the work and work to be done, other responsibilities and duties may by assigned and qualifications may be adjusted from time to time.
