Purpose:
The purpose of this role is to facilitate patient access to hospital programs and clinic services by coordinating registration, scheduling, reception, data management, and other administrative activities. As the first point of contact for patients and visitors, the incumbent provides guidance and support throughout the enrollment and care process, resolves issues that may impact participation or access to services, and supports physicians and staff in delivering efficient, high-quality, patient-centered care.
Duties:
- Register patients as required according to policy.
- Provide intake services to nursing staff, confer with ward clerks, caregiver, nurses, physicians, etc.
- Provide clerical and administrative support with tasks such as copying, filing, and scheduling (Community Wide Scheduling)
- Coordinate and support the enrolment of eligible patients into the Remote Care Monitoring application (SeamlessMD) and document details in Meditech.
- Monthly statistical data entry and preparation of reports for staff and Administrative Lead.
- Organize and maintain a filing system for administrative information and correspondence.
- Develop proficiency in SeamlessMD software system, provide access to new users, keep codes up to date, test system after updates, understand workload data and discuss concerns with the appropriate person to ensure accurate data collection and reporting.
- Receive and direct employees, patients and visitors.
- Transcription of orders as required.
- Assess and assist with staffing/scheduling on a daily basis and communicate staffing concerns as required to the Manager.
- Collect data for monthly submission to Finance.
- Other duties as assigned.
Qualifications:
- Diploma in Office Administration, or Health Office Administration Certificate
- Minimum 1-year office experience working in a healthcare environment
Experience:
- Computer literacy in a Microsoft environment including experience in the development of spreadsheets, Word, Power Point, Outlook, and Visio.
- Knowledge of medical terminology.
- Customer service, interpersonal and telephone skills
