Office Assistant H – Stroke Program – Part Time

Duties:

  1. Scheduling patients for appointments using Community Wide Scheduler
  2. Register patients for their appointments
  3. Collect information on secondary stroke prevention clinic risk assessment form
  4. Make reminder calls for clinics for appointments
  5. Answering and directing calls and answering all non-medical related questions
  6. Request and obtain charts
  7. Prepping patient charts for clinic
  8. Fill out forms for physicians – travel grants, Ministry of Transportation, etc
  9. Data entry: Collect and enter Statistics, in an excel database
  10. Ordering and printing education resources for stroke program patients
  11. Set up of rooms and dismantling for the next clinic
  12. Photocopy and collate documents for distribution, mailing and filling
  13. Calling community hospitals or labs for additional reports
  14. Faxing and distributing of reports, requisitions, prescriptions, and referrals
  15. General administration support for stroke RN and District Stroke Coordinator as needed and assigned
  16. Other duties as assigned

Qualifications:             

  • Diploma in Office Administration or Health Office Administration Certificate or equivalent education and/or experience, preferably in a health care environment.

Experience:

  • Proficiency in medical terminology.
  • Previous work in an outpatient clinic.
  • Proficient in a Microsoft environment including word and excel.

Ability:

  • Ability to work in a team environment or independently.
  • Knowledge of hospital software applications such as Meditech, ADT, ADM and PHA, and Xerox.
  • Excellent communication, analytical, investigation and organization skills.
  • Demonstrated ability to maintain successful working relationships; ability to meet and interact with people in a pleasant, professional, responsible and reassuring manner, both in person and on the telephone; tact, courtesy and alertness in public contacts.
  • Demonstrated behaviour consistent with the hospital’s mission statement and core values.
  • Knowledge of PHIPA; Personal Health Information Protection Act.
  • Behaviour consistent with Hospital Mission, Values and Standards of Performance
