Warehouse Supervisor – Logistics – Temporary Full Time

Purpose of Position:

The supervisor will supervise the daily operations of the staff of the Logistics Department ensuring safe, high quality, efficient customer service is provided to the organization.  To provide supervisory and technical support for staff, ensure compliance with all applicable policies and regulations, establish work plans and develop cooperative and productive work teams.  The supervisor will act as point of contact for internal and external customers. Reporting directly to the Manager, Warehouse, Distribution and Logistics, the Supervisor, Warehouse is directly accountable for front-line staff in the department.

Duties

  1. Plan, develop, organize, direct, manage and evaluate the operations of the warehouse facilities within budget
  2. Assist with the preparation of the Distribution budget.
  3. Plan warehouse operations in accordance with shipments, receiving, store orders, perishability, and stock rotation requirements (expiry).
  4. Plan, develop, and implement warehouse health, safety, and security programs and activities.
  5. Develop warehouse operations policies and procedures and communicate this information to staff.
  6. Develop and implement process improvement plans and change management plans.
  7. Develop, implement and maintain relevant key performance indicators to measure the effectiveness of the warehouse operations.
  8. Preparation of correspondence, reports, and statistics related to the warehouse/distribution activities area of responsibility including but not limited to operations, maintenance and safety.
  9. Prepare and post department work schedule and handle request for changes (vacations, shift changes etc.).
  10. Supervise the daily warehouse and shipping areas including: filling and shipping customer orders (internal and external), ensuring accuracy of shipments and supporting documentation, receiving incoming material and routing to appropriate area or personnel, ensuring inventory transactions are accurately logged and overseeing cycle counts and reconciliation activities.
  11. Manage, monitor and report on inventory.
  12. Provide guidance to the purchasing team in relation to inventory related contracts and requirements.
  13. Responsible for month-end and year-end inventory process and reconciliations.
  14. Report and clear under stock, over stock or out of stock conditions.
  15. Supervise warehouse staff in a unionized environment; instruct, coach and train warehouse staff in inventory policy, process, planning and warehousing best practices.
  16. Supervise truck offloading and loading.
  17. Measure and report on the effectiveness of the department activities.
  18. Develop and maintain departmental work instructions for all tasks (SOP’s); develop and document inventory processes.
  19. Design, monitor, and maintain a safe working environment through compliance/enforcement of safety programs and regulations.
  20. Ensuring company and/or department policies, procedures and practices are adhered to.
  21. Recommending measures to improve the quality of service and increasing the efficiency of the department and work group performance.
  22. Continuously improve warehouse operations through the use of lean practices; advise and present to the Manager, Logistics opportunities for continuous improvement, process improvement, cost reduction and material requirements planning.
  23. Conferring with other SAH staff to co-ordinate the activities of individual departments and serving internal customers.
  24. Develop constructive and cooperative working relationships.
  25. Develop and maintain strong cross-functional relationships with internal customers to provide guidance, education and solutions related to inventory planning and management while identifying opportunities for continuous improvement and cost savings.
  26. Maintain necessary statistics and records.
  27. Maintain regular communication with other departments.
  28. Remain current with latest warehouse operations technology systems and procedures.

Qualifications

  • Bachelor’s Degree or College Diploma in related field (such as Business Administration)

Experience

  • Three (3) years of relevant experience

Knowledge, Skills & Ability

  • Advanced computer skills with Microsoft Office Suite, Word, Excel, Outlook and PowerPoint.
  • Effective verbal communication and strong writing skills.
  • Previous experience in a leadership role preferred.
  • Experience working in a unionized environment.
  • Ability to provide clear and concise direction and instruction to staff and other departments, sometimes during high stress situations.
  • Ability to make calculations such as percentages, freight estimates, statistical analysis, financial math, and measurement.
  • Knowledge of general business computer software, inventory management software and aptitude to learn new software applications.
  • Strong interpersonal, communication, conflict resolution and team building skills.
  • Knowledge of and adherence to Hospital Standards of performance, administrative policies, and records management protocols.
  • Knowledge of the Transportation of Dangerous Goods.
  • Demonstrated behavior consistent with the hospital’s mission statement and core values.
