Office Assistant – Outpatient Mental Health and Addictions Services – Temporary Part Time

Duties:

  1. To collaborate with inpatient, outpatient and community-based interdisciplinary teams in the provision of administrative and clerical support services for the staff, physicians and managers in Mental Health & Addictions Services
  2. To provide scheduling services
  3. To prepare, organize and maintain filing systems for patient charts and administrative information and correspondence
  4. Navigate SAH software (Meditech, CRMS, Infomed, CATALYST, Eventus) to gather appropriate data and create reports
  5. Development of forms
  6. Application of Lean methodology
  7. Manager may assign additional tasks

Qualifications:             

  • Diploma in Office Administration, Health Office Administration Certificate or equivalent education and/or experience, preferably in a health care environment
  • Proficiency in medical terminology
  • Computer literacy in a Microsoft environment including proficiency and experience in the development of spreadsheets, Word, Power Point, Outlook, and Visio

Experience:

  • Recent experience in a health care environment

Ability:

  • Demonstrated knowledge and proficiency with use of Meditech applications, including Staff Scheduling, Community Wide Scheduling (CWS), Materials Management, OE, IMPAX, EMR and ORM modules
  • Demonstrated knowledge with transcription of physician orders
  • Excellent written and oral communication skills
  • Demonstrated ability to perform multiple tasks with efficiency
  • Demonstrated ability to maintain successful working relationships; ability to meet and interact with people in a pleasant, professional, responsible and reassuring manner, both in person and on the telephone; tact, courtesy and alertness in public contacts
  • Demonstrated competency in scheduling staff with working knowledge of collective agreements for ONA, Unifor Service, Unifor Clerical and OPSEU bargaining agents
  • Demonstrated behaviour consistent with the hospital’s Standards of Performance and iCcare values
  • Ability to meet deadlines
  • Ability to communicate with patients with special needs (i.e. speech, communication difficulties).
  • Mental Health First Aid training is an asset
  • CPI: Nonviolent Crisis Intervention training is an asset
  • Ability to work independently
  • Ability to work in a variety of multidisciplinary environments with high sensory demands
