Human Resources Program Assistant – Human Resources – Full Time

Purpose of Position:

Working in a fast-paced Human Resources Department, the Human Resources Program Assistant will provide support to the Human Resources team, as well as hospital workers and visitors by assisting with the fit testing program, in person visits and phone calls to the department, responding to and completing virtual requests from workers, assisting with recruitment and onboarding, scanning and filing documents, as well as completing form letters and other tasks to support the various areas of Human Resources. 

Duties:

  1. Support the hospital fit test program by coordinating, tracking and completing fit testing. This includes tracking and ordering inventory, notifying and scheduling workers as appropriate and updating records to reflect the most up to date and accurate information.
  2. Answer the phone and welcome/greet workers and other visitors to the department.
  3. Assist the recruitment team with booking interviews and testing, completing onboarding tasks and other end to end recruitment related tasks as required.
  4. Respond to emails and other virtual requests and complete tasks such as address changes for workers.
  5. Complete form letters as required.
  6. Support the Human Resources team by completing various tasks with a high level of quality and accuracy.
  7. Other duties as assigned.

Qualifications:             

  • Post-secondary education within human resources or business administration or equivalent working experience in Human Resources.
  • Ability to work effectively and efficiently as a team member in a fast-paced environment and stressful situations.
  • Ability to use discretion, tact and uphold strict confidentiality at all times
  • Excellent interpersonal and communication skills (both written and verbally)
  • Customer service and telephone skills.
  • Computer literacy in a Microsoft environment including experience in the development of spreadsheets, Word, Power Point, Outlook, and Visio.
  • Ability to maintain successful working relationships.
  • Comfortable thinking pro-actively and taking initiative.
  • Good time management and organizational skills.
  • Ability to meet and interact with people in a pleasant, professional, responsible and reassuring manner.
  • Behaviour consistent with Hospital Mission, Values and Standards of Performance.
  • Proficiency and accuracy in clerical tasks including data entry, keyboarding, filing systems, documentation etc.
  • Knowledge of hospital software applications such as Meditech.
